HunaTek Government Solutions is seeking a Project Coordinator to assist staff in coordinating the production of information and materials, such as written policy guidance, strategy documents, information and action memoranda, texts of speeches and articles, congressional testimony, talking points, and background information related to specific negotiations or efforts to resolve problematic interagency or international relationships. The role includes receiving and determining the appropriate disposition of a high volume of incoming requests—both internal and external—for meetings, conferences, speaking engagements, and attendance at major public forums. The Project Coordinator will ensure timely action is taken on all requests by coordinating with relevant staff. They will also ensure material requiring action is brought to the attention of senior leadership and that information and guidance from senior leadership is promptly conveyed to the appropriate staff. The role includes prioritizing tasking requests for memoranda and other information and reviewing all outgoing documents for proper format, consistency, grammatical accuracy, completeness, and clarity.
Essential Job Functions:
- Manage day-to-day affairs and serve as a liaison with key personnel from U.S. government entities and foreign governments.
- Assist staff in coordinating the production of information and materials, ensuring quality control and paper flow.
- Ensure timely action by relevant managers and staff on items requiring attention. Review draft materials, making or suggesting changes and anticipating questions.
- Review documents and incoming mail to assign appropriate action or distribution within the CT Front Office.
- Receive and appropriately handle high volumes of incoming requests for meetings, conferences, and events, ensuring coordination with relevant staff.
- Ensure materials requiring action are brought to the attention of Principals and Deputies and that information from leadership is promptly conveyed to staff.
- Prioritize tasking requests for memoranda and other information per Department directives and Government supervision.
- Track and monitor the status of memoranda and correspondence within the bureau.
- Review all outgoing documents for proper format, consistency, grammatical accuracy, and completeness, making necessary corrections or returning them for changes.
- Advise personnel on overdue items, upcoming deadlines, priority issues, and required formats for materials in compliance with Department regulations.
Skills and Qualifications Required:
- Ability to work with minimal supervision and effectively engage with senior officials of the Department and interagency management.
- Thorough knowledge of the organizational structure of the State Department and Bureau of Counterterrorism, including the roles of Front Office staff and the paper flow process to/from the Executive Secretariat, the Secretariat, the Operations Center, and the 7th floor Principals.
- Ability to manage numerous and varied responsibilities and tasking simultaneously under stringent deadlines.
- Capability to meet deadlines without compromising quality control standards.
- General substantive understanding of document subject matter and the priority attached to it by Bureau and Department principals.
- Decision-making skills to determine when bypassing normal processes is necessary to streamline actions.
- Four years of relevant experience.
- Bachelor’s degree.
- Secret Clearance with the ability to obtain a Top Secret and SCI Clearance.
