HunaTek Government Solutions is seeking an Office Manager/Project Coordinator to fill a full-time position in Washington, DC. This opportunity will be on-site at the Department of State, with the Bureau of Counterterrorism, EX Office.
The essential job functions include:
Records Management
- Coordinate and facilitate meetings with other CT offices to disseminate information about the records management program, including the structure of the CT shared drive (data infrastructure), SharePoint, and OneDrive.
- Coordinate and facilitate meetings with records management stakeholders in the Department related to CT issues.
- Research and analyze problems, issues, or system requirements, providing analysis and advice to improve program effectiveness.
- Draft Standard Operating Procedures (SOP) to provide consistency, quality control, and cross-training to mitigate risks.
- Provide support to CT staff for implementing the records management program.
Tasker Coordinator
- Receive and track incoming taskers for the office from OIG, Front Office, or other parts of the Department.
- In consultation with EX Leadership, assign tasks to the appropriate staff member, setting internal deadlines to meet external deadlines.
- Follow up prior to internal deadlines to ensure timely submission.
- Send outputs for clearance if necessary and provide the final cleared outputs to the requestor.
Logistics Coordination
- Meet with event hosts to understand event requirements.
- Identify available venues and advise on attendee placement.
- Draft a list of items needed for the event and submit Work Orders for supplies in a timely manner.
- Establish or receive attendee lists and ensure visitor access, coordinating with Diplomatic Security (DS) Visitor’s Request office if required.
- Coordinate all aspects of offsite meetings with venue points of contact.
- Coordinate A/V support and other requirements with appropriate offices to ensure event success.
- Schedule pre-event walkthroughs or technology checks.
- Provide onsite coordination support as needed.
Management Notice/SOP Facilitation
- Receive and track Management Notices and SOPs.
- Review existing notices/SOPs and make update recommendations.
- In consultation with EX Leadership, assign tasks to the appropriate staff member, setting internal deadlines to meet external deadlines.
- Follow up prior to internal deadlines to ensure timely submission.
- Send outputs for clearance if necessary.
- Disseminate Management Notices or SOPs via email, SharePoint, or meetings.
Skills and Qualifications Required
- Proven ability to prioritize and multitask assignments with stringent deadlines without compromising quality.
- Mastery of the English language, supporting the ability to draft and review documents such as SOPs, policy documents, and memos.
- Skill in interacting with officials at all levels to gain acceptance and cooperation for EX Director’s agendas, proposals, and preferences.
- Ability to anticipate needs and provide excellent customer service with attention to detail.
- Analytical skills to identify significant factors, gather data, recognize solutions, and communicate effectively.
- Ability to adapt to emergency and rapidly changing situations.
- Five years of office management experience, with at least one year in project management or program planning.
- Associate degree in office administration, business, or a similar field.
- Top Secret clearance.
